shared mailcow – what do I get?
With shared mailcow, you get a reliable and secure email solution, ideal for small teams, personal use, or new projects. Hosted in Germany, you benefit from state-of-the-art encryption, adaptive spam and virus protection, and an intuitive user interface for easy management.
Your plan includes a dedicated email domain, 20 mailboxes, and at least 20 GB of storage, which can be flexibly expanded up to 50 GB. Thanks to the unlimited number of aliases and domain aliases, your setup adapts perfectly to your needs.
Additionally, you have access to groupware features such as calendars and contacts – perfect for everyday organization. ActiveSync® can be enabled optionally, allowing cross-device synchronization of emails, calendars, and contacts.
Note: In shared environments (such as shared mailcow), high load may cause temporary stability limitations.

The mailcow Stay-Awesome-License offers a way to actively support the mailcow project.
The mailcow project itself is completely open source and can be used without restrictions. The SAL was created to give users who appreciate the project an easy way to show their gratitude and contribute to its continued development.
What is mailcow SAL?
The mailcow SAL is not a traditional license or service, but a voluntary donation. 100% of the proceeds go directly toward the development and maintenance of the project, without any deductions from platform fees or similar costs.
Benefits of a SAL
By registering the GUID generated by mailcow in the customer portal, users receive the following benefits:
- Display of the donation level in the admin view of the mailcow user interface.

Frequently asked questions
Do I need my own domain for my email mailbox?
Yes! But don’t worry, here’s how it works — in just four steps:
1. Your own Domain
Bevor’s losgehen kann, brauchst du eine eigene Domain. Die Endung ist egal, Hauptsache, du bist der Besitzer und kannst DNS-Einträge setzen.
It doesn’t matter whether your domain is hosted with Servercow or not.
2. The right settings make all the difference
For your email server to run smoothly and to keep your messages out of the spam folder, the correct DNS records are essential: A or AAAA records for the server, MX records for mail reception, and SPF, DKIM, and DMARC for secure and trustworthy delivery.
We provide the required settings, either through our support team, or directly in our wiki.

You can now send and receive emails using your own domain. That wasn’t so hard, was it?
What do you do against spam and unwanted advertising?
Our mailcow servers are equipped with intelligent filters that reliably detect and block spam and viruses. These systems continuously learn — based on your behavior, such as what you mark as spam or regularly open.
In addition, we use a central detection system for unwanted emails, powered by many anonymous user experiences. During this process, no emails are read — only technical characteristics like anonymized fingerprints (so-called hash values) are analyzed.
This keeps your inbox clean — and your privacy fully protected.
Why do important emails end up in the spam folder?
There can be several reasons for this: Often, it’s because the sender’s server isn’t configured correctly — for example, missing important DNS records like SPF, DKIM, or DMARC. Certain wording or attachments in the email can also cause spam filters to flag it as suspicious.
Sometimes, filters react too sensitively — especially with unknown senders or new domains. In such cases, it helps to mark the sender’s address as “trusted.”
Tip: If you frequently find important emails in your spam folder, feel free to contact us — we’ll help you analyze the issue.
How much storage space does my account include?
That depends on the package you choose:
shared mailcow:
You start with 20 GB of storage, which you can easily expand — in 1 GB increments, up to a total of 50 GB.
managed mailcow:
Here you start with 100 GB of storage. If needed, you can upgrade in fixed steps — up to 400 GB directly in the shop, with more available on request.
This way, you’ll find the perfect size for any project — from a small mailbox to a full-scale business solution.
Can I expand my email account when my mailbox is full?
Yes — and flexibly, too!
You can allocate the storage space per mailbox freely within your total booked quota. This lets you decide which mailboxes need more or less space.
If your total quota is used up, you can upgrade it at any time for an additional fee — either in small steps (e.g. +1 GB with our shared mailcow) or with larger expansion packages for managed mailcow (e.g. +50 GB, +100 GB, etc.).
This way, your mail setup grows exactly as you need it — flexible and adaptable at any time.
How can I reset my password?
That depends on the package you’ve booked:
shared mailcow:
The password is reset by the domain admin — usually the person managing the Servercow account. Access is available through the hosted.mailcow.de portal.
managed mailcow:
Here, it’s handled by the admin of your own mailcow server — either the Servercow account owner or a responsible local IT admin.
If you’re unsure who’s responsible in your case, just reach out to us — we’ll be happy to help.
What should I do if my account has been hacked?
Don’t panic — but please act immediately:
Change your password — ideally for all affected email addresses.
Check access logs — for example, to see if anyone has logged in from unusual regions.
Delete suspicious forwarding rules, filters, or unauthorized signatures, if any are found.
Inform your contacts if spam might have been sent from your account.
Contact us so we can review the account and secure it further if necessary.
Important to know:
If large amounts of spam are sent from a compromised account, we will intervene — whether you’re using shared or managed mailcow. To protect the server’s reputation, it may be necessary to temporarily disable affected accounts or domains.
Protect yourself with strong passwords and — if possible — two-factor authentication.
Why can’t I send or receive emails?
There can be several reasons — here are the most common ones:
Mailbox full?
Check if your storage quota is used up. Once you’ve reached your limit, new emails can no longer be sent or received.Are DNS records set correctly?
Without valid A/AAAA and MX records, as well as working SPF, DKIM, and DMARC entries, communication may fail or messages may end up in spam.Misconfiguration in your mail client?
Verify your username, password, server address, and ports — especially for IMAP/SMTP or ActiveSync.Blocked due to suspicious activity?
In cases of unusual behavior (e.g. spam sending), your mailbox may be temporarily suspended for security reasons. You’ll receive a notification from us if that happens.Network issues or blocks?
Sometimes, local firewalls, antivirus software, or provider settings can prevent a successful connection.

How do I delete my email account?
That depends on which package you’re using:
shared mailcow:
You can manage your mailboxes via the hosted.mailcow.de portal.
As a domain administrator, you can create or delete mailboxes at any time. If you’re not an administrator yourself, please contact the person managing your account.
managed mailcow:
Management takes place directly through the admin interface of your own mailcow server. The responsible server administrator (either you or, for example, your IT team) can delete mailboxes there.
Important: Deleted accounts and their contents can generally not be restored after deletion — make sure to check beforehand whether you need a backup.
How do I cancel my mailcow with you?
You can easily cancel your mailcow via our customer portal:
Log in to your Servercow account.
Go to “My Services” and select the corresponding mailcow product.
There you’ll find the option to cancel.
Important:
The cancellation must be submitted in time — please note the notice period stated in your contract or product description. After the term expires, your account and all associated data will be deleted.
